Administration & security

Run the system yourself: settings, profiles and permissions in one place

An administrator sets pricing rules, decides what each user can see and do, connects distributor feeds and suppliers, and manages users and customers without a support ticket. Your team owns the configuration.

In one paragraph

VARCommerce administration gives your administrators one area for global site settings and preferences, pricing profiles that drive quote and storefront pricing, security profiles that control what each user can view and change, shipping preferences, catalog and distributor feed settings including FTP, shipment-notice and XML configuration, supplier management, user management and company and contact management. Changes take effect without involving VARCommerce support, and support is there when you want it.

What an administrator controls

  • Global settings and preferences. Company details, document numbering, defaults for quotes, orders and invoices, email templates and site-wide options.
  • Pricing profiles. Margin and markup rules by customer, customer group, category or contract, applied automatically on quotes and in storefronts. See quoting.
  • Security profiles. Role-based permissions per user: which screens, actions and data a rep, buyer, warehouse user, accountant or manager can see and change, including whether a rep sees only their own accounts or the whole company.
  • Shipping preferences. Carriers, accounts, default services and freight calculation for quotes and orders.
  • Catalog and feed settings. Distributor catalog feeds, FTP credentials, shipment-notice and XML settings, so the distributors you buy from feed price, availability, tracking and serials into the system.
  • Supplier management. Distributors and suppliers, account numbers, ordering methods and per-supplier purchase order handling.
  • Users. Add and deactivate users, assign security profiles and rep groups, manage storefront users for each customer.
  • Companies and contacts. Customer and prospect records shared by CRM, quoting, storefronts and invoicing.

Why it matters

Reseller businesses change constantly: a new distributor account, a new rep, a customer that needs a store, a contract with its own price list. If each change needs a vendor ticket, the system slows the business down. VARCommerce puts that configuration in your administrators' hands, with in-house support a phone call away when you would rather ask. How support works →

Questions buyers ask

Frequently asked questions

Can I control what each user sees?

Yes. Security profiles set permissions per user for screens, actions and data, including whether a rep sees only their own customers and deals.

Do I need VARCommerce to make configuration changes?

No. Administrators manage settings, pricing profiles, users, suppliers and feeds themselves. Support is available whenever you prefer to ask.

Can I add a new distributor account myself?

Supplier records and account numbers are managed by your administrator; connecting a new distributor feed is done with support during onboarding or when you add a distributor.
