Quoting & CPQ

Quoting built on live distributor pricing, not on a spreadsheet

Your reps quote from Ingram Micro, TD SYNNEX, D&H and BlueStar cost and stock inside the quote, with the customer's pricing and any contract price list applied automatically. When the customer says yes, the quote is already the purchase order.

A quote: distributor cost, margin and the linked opportunity on one screen
In one paragraph

VARCommerce quoting pulls live cost and availability from your distributors into the quote, lets reps bundle hardware, software and services on one document, applies customer-specific and government contract pricing by rule, and converts the accepted quote into purchase orders and a customer order without re-entering a line. It is quoting for IT resellers, not a generic proposal tool.

What a rep does in a quote

  • Search the catalog (3 million+ products from 1,500+ manufacturers) and see cost and availability by distributor before choosing where to buy.
  • Import a distributor quote instead of retyping it. Customers name this as a reason they chose VARCommerce.
  • Bundle products with services and labour lines on one quote.
  • Apply the customer's price list, margin rules or a government contract price list; the system enforces it.
  • Send the quote, track its status against the opportunity, and see it in the pipeline and forecast.
  • On acceptance, convert to purchase orders per distributor and a customer order in one action.

Working the quote

  • Copy, version and archive. Copy a previous quote as a starting point, keep numbered versions as the deal changes, and archive quotes you no longer need in the active list.
  • Structure. Headers and subtotals to group a large quote into sections, re-sequencing of line items, merging of duplicate lines, and quick bundles for the configurations you sell every week.
  • Pricing. Adjust price or margin per line or across the whole quote at once; apply special pricing and deal registration and map it to the contract it belongs to; see prior sales of the same part number and what this customer paid before.
  • Recurring revenue. Software maintenance, subscriptions and renewals carried as recurring lines so the renewal is quoted and invoiced on time.
  • Any product. Custom catalog items for services, labour and products that are not in a distributor feed, alongside the distributor-fed catalog, with every supplier's cost shown per item.
  • Product content. Tech specs, images and side-by-side product comparison from GfK Etilize content; related products suggested on the line.
  • Documents. Cloud document storage on every quote and order for the manufacturer quote, the customer's PO and the signed proposal; PDF and Excel export with your print settings.
  • Tax and freight. Multiple tax calculation options, including Avalara; shipping options with a freight calculator on the quote so the customer sees the delivered price.

What makes it different from a quoting-only tool

Quoting-only products (QuoteWerks, Quoter and similar) produce a good-looking quote and then hand off to whatever you use for purchasing, receiving and invoicing. VARCommerce's quote is the first state of a record that continues through procurement, orders and invoicing and inventory. That is the difference between a quoting tool and a platform that runs the transaction.

Government contract quoting

For SEWP, CIO-CS, GSA Schedule and state contracts, the contract price list and terms are applied on the quote automatically, so a rep cannot quote outside the contract by accident. Government VARs →
