Government VARs

Run SEWP, CIO-CS and GSA business in the same system as everything else

Contract price lists and terms applied and validated on quotes, agency storefronts limited to permitted products, TAA requirements carried through to the invoice, and the SEWP export and technical-refresh files produced from the system instead of rebuilt in Excel.

In one paragraph

VARCommerce gives government VARs and SLED resellers contract price lists and terms applied and validated on quotes and orders for SEWP, CIO-CS, GSA Schedule and state and local contracts, agency storefronts limited to permitted products at contract pricing, TAA flags carried from quote to invoice, contract bundles, and SEWP export and technical-refresh files generated from the system, alongside commercial business in one platform.

Contract vehicles

  • NASA SEWP. Contract price lists and SEWP bundles, part and price validation on quotes, provider approvals, the SEWP technical-refresh process including the SEWP response, and the SEWP export file produced from the system.
  • CLINs. Contract line item numbers generated and managed on the quote and order so agency paperwork matches the contract.
  • Open market. Open-market items handled alongside contract items on the same quote, identified as such on the documents.
  • Federal opportunity email parser. Government emails announcing opportunities a VAR can bid on are read automatically; the opportunity details are extracted, saved and made searchable, so reps find bids to respond to without reading every message.
  • NIH CIO-CS. Contract price lists and bundles applied to quotes and orders.
  • GSA Schedule. Schedule pricing on quotes with an option to enforce not-to-exceed GSA pricing.
  • State and local contracts. Cooperative and state contracts managed with the same contract price-list tools.
  • TAA and EPEAT. Compliance requirements tracked per contract: a "requires TAA" rule with TAA shown on quote, order and invoice prints, and EPEAT tracked on contract items.

What the platform does on a government deal

  1. The rep selects the contract; the contract's price list and terms apply to the quote and lines are validated against the contract.
  2. The agency buys from a storefront showing only permitted products at contract pricing, or the rep converts the quote.
  3. Procurement, receiving, serials and shipping run as for any order.
  4. The invoice carries the contract terms and TAA flags.
  5. Contract data exports (SEWP export, technical refresh) are produced from the system; sales by contract, agency or period come from the report builder.

Why not a generic quoting tool or ERP

Quoting tools do not know what a contract price list is; generic ERPs do not know what a distributor feed is. Government VARs end up managing contract pricing in spreadsheets outside both. VARCommerce was built by a VAR that sold on these contracts, so the contract is a first-class object on the quote, the store and the report.

"We needed a single platform for quoting, PO processing, and a strong back-end financial process across all contracts. It can flex between different types of contracts and complexities."

Frequently asked questions

Which government contract vehicles does VARCommerce support?

SEWP, CIO-CS, GSA Schedule and state and local contracts, with contract-specific pricing, terms, storefronts and reporting for each.

Can commercial and government business run in one system?

Yes. Contracts are an attribute of the quote, order and store, so the same reps and the same back office handle both.

Can an agency buy from a storefront at contract pricing?

Yes. Agency storefronts show only permitted products at the contract price and orders flow into the same procurement and invoicing.

Does VARCommerce produce SEWP files and contract reports?

The SEWP export and technical-refresh files are generated from the system. Sales by contract, agency or period are built in the ad-hoc report builder from the same transactions rather than rebuilt in spreadsheets.
